Main Purpose:
The Data Stocks Administrator will manage data relating to customer consumption reports and stock management reconciliations and assist the Site Manager in ensuring that activities relating to product receipts, transfers, sales, stock on hand and stock losses are properly managed in safe working conditions in accordance with the HSSE policies and guidelines as directed by the Site Manager.

Key Responsibilities
HSE
Ensure safety standards are maintained at the highest level and operations are running smoothly, the following will be key areas of focus:
- Each person is firstly responsible for their own safety and to prevent accidents
- Inspect their work places to look for potential hazards
- Report all hazards to the immediate supervisor
- Immediately report all injuries in the work place to their supervisor
- Know and fulfil safety policy
- Follow all procedures and observe all critical safety practices at all times
Stocks Reconciliations
- Consolidate and independently reconcile the movement in stock relating to product received, stored, transferred and sold to the customer according to PUMA Energy standing procedures and policies in an HSSE controlled environment. This means coordinating the efforts of in stock reconciliations and investigating any variances with explanations on a daily basis.
- Perform independent checks on the meter readings, dip readings and the electronic readings. Check records for the product received and issued in the system and on manual reports.
- Any losses and gains incurred as in-transit, working or sales investigated and reported to the Site Manager immediately.
Mid-month, Monthly Sales Invoicing and Data Management
- Poll data from all remote sites regarding fuel consumption and reconcile with the meter readings to prepare sales invoicing figures.
- Defining equipment in the Puma Data Base at Moatizr - VALE and removing or blocking equipment as requested by the customer.
- Circulating fuel consumption reports daily and weekly to be acknowledged by the end users – variances departments before the invoice is passed for payment.
- Analyse data and investigate any variances and comment on the reconciled data to ensure there are no anomalies.
- Compliance to the set patterns, submit to the Site Manager for review. Circulate the polled data on equipment consumption to the customer on time as agreed with the customer.
Product Stock Orders, Receipts, Sales and Transfers
Conduct daily dips at all satellite filling points, receive product and assist in issuing or transferring product to customer equipment as Directed by the Site Manager and in accordance with the TFM Operating procedures, HSSE policy and guidelines. Compile dips and circulate daily stock position report and liaise with the Site Manager on the orders to be placed in order to replenish stock.
Administration
Attend to all the administrative issues relating to the terminal operations and any other issues as may be delegated by the Site Manager
E.H.S Management
Ensure safety standards are maintained at the highest level and operations are running smoothly, the following will be key areas of focus:
- Personal safety. - Ensure no days away from work.
- Office safety - Observe clean desk policy and observe good filing Practice.
- General EHS
- Conduct one near hit per quarter.
- Conduct task procedures.
People Issues
- Ensure team work with operation's staff to achieve company performance goals.
- Develop and improve understanding of Puma Operations and Business Processes
- Be available to assist other functions where possible
HSSE and House Keeping
Act as the HSSE tag for the Site and assist the Site Manager in implementing initiatives and programs at the depot and ensure that the depot is in full compliance with the HSSE guidelines, procedures and policies to safeguard the interest of Puma, its customers and other stakeholders.
This will involve ensuring that all the areas on site around the offices, tank farm area, surroundings, equipment and the environment are properly maintained, kept in good sound, safe and efficient working condition and that they comply with legislative requirements where applicable.
Requirements
Education
- Grade 12 School Certificate
- Diploma or Certificate or equivalent qualification in a business related field.
- Two (2) years oil industry experience, preferably in operations and or data analysis.
- Relevant experience in business and logistical operations an added advantage.
