Report to: HR Officer (Mozambique) and Group Head of HR
We are seeking an experienced HR Officer with experience in the following areas:
Recruitment
Work with the Driver Management team to recruit drivers, participating in interviews, facilitate medicals. Facilitate the recruitment for other departments i.e. Workshop, by ensuring all applicants’ records are up to date, sending tests, profiling candidates for interviews and assisting in the interviewing process.
On boarding
Conduct orientation of all employees in line with the Company Values & Culture and keep accurate records
Ensure all HSSEQ procedures are adhered during employees’ orientation.
Handle all immigration matters ensuring all work permits are up to date for all expatriate staff.
Filling and Documentation
Prepare and maintain personnel files and ensure all required documents are loaded onto Google drive
Provide payroll inputs timeously and accurately
Process advances, loans and ensure leave records are upto date and signed off
Maintaining office filling for documents and ensuring safe custody
Training
Assist with Driver & Workshop training where required
Ensure all training records are up date and loaded on Google Drive
Employee Relations
Facilitate and attend disciplinary hearings and ensure all documentation is recorded and up to date
Facilitate the compliance of all policies and procedures through education, support and guidance to employees and line management.
First line support to employees and line management to mediate labour relations between management and employees regarding discipline, Code of Conduct, and performance issues.
Respond to grievances received and resolving them accordingly
Document and process all administration linked to first line employee/employer consultations including minutes for the proceedings, warning letters, counselling, poor performance improvement plans.
Ensure fair management practices and reduce risk to the company by ensuring that Company policies are consistently and fairly applied.
Escalate to HR & Administration Manager where cases need specialist intervention and provide relevant information through investigations.
Management support
Attends to general HR queries from employees and management and escalate to HR & Administration Manager when required.
Follows up and provides feedback to employees and line management on core HR services and HR initiatives being implemented.
Performance Management
Ensure that performance review process guidelines are adhered to by line managers through communication of key deadlines and ensuring that all information is captured in the system.
Facilitating consultations regarding performance management issues between employees and line management.
Reporting
Compile HR monthly reports and send to HRM
Conduct exit interviews with employees leaving the organization and compile reports on feedback received and communicate to HR & Admin Lead/Manager.
Report monthly site activities including employee engagement activities
Administration
General facility management including but not limited to office, workshop areas, guesthouses.
Closely monitor the office notice board and ensure it is updated with the latest and important information.
Ensure all due diligence for the company and all vehicles, motorcycles, trucks and trailers is updated on time.
Maintain office equipment, stationery and consumables.
Receiving company guests, arranging for their transport and accommodation.
Guiding and supervising support staff on a daily basis to ensure efficiency and effectiveness.

Any other admin duty that may be assigned from time to time.

Education & Skills
Completed relevant University Degree
A minimum of 3 - 5 years HR experience in a large organization (logistics preferred)
